Privacy Policy

How Fleet Media collects, uses and stores personal data, including location data from the Fleet Media app.

English translation. This is a translation of our Danish privacy policy, provided for reference. In case of discrepancy, the Danish version prevails.

1. Data controller

Fleet Media is the data controller for the personal data we process about you.

2. What we collect

2.1 When you contact us. Name, email address, phone number, company name and the content of your enquiry.

2.2 When you apply as a driver. In addition: age, postcode and city, details about your vehicle (make, model, year, colour), your stated monthly mileage, driving pattern and parking arrangements, plus any comments you provide.

2.3 When you drive in an active campaign. Location and driving data collected by the Fleet Media app, information required for payment including bank details and civil registration number for mandatory reporting to the Danish Tax Agency, the registration number of the vehicle, and contract documents and correspondence.

2.4 When you visit this website. Technical information such as IP address, browser type and pages visited, to the extent you have consented. See our cookie policy.

3. Location data

Location data is the most sensitive category of data we process. We handle it according to the following principles:

  • Purpose limitation. The data is used solely to calculate advertising exposure and to document that a campaign was carried out. It is not used to assess driving behaviour, for insurance purposes, or for resale.
  • Advertisers do not receive your identity. Reports contain areas, road segments and aggregated figures. They do not contain your name, address, vehicle registration number or individual journeys.
  • Collection only during a campaign. The app records driving only while you are taking part in an active campaign.
  • No resale. We do not sell location data to third parties.

3.1 Background collection

The Fleet Media app collects location data in the background, including when the app is not open on screen. This is necessary because the purpose of the app is to record the driving that takes place during an ordinary day, without the driver having to start or stop anything manually.

Background collection covers only the road segments the vehicle travels along and the time of the journey. It takes place only while you are participating in an active campaign.

Before the app requests background location permission, you are informed in the app about what is collected and why. You may withdraw the permission at any time in your device settings or uninstall the app. Please note that we are then unable to document the driving, which may affect your agreement and your payment.

3.2 What the app does not collect

The app does not access contacts, photos, microphone, camera, calendar or other content on your device. Location data is not used to assess driving style or speed, is not shared with insurance companies, and is not sold to third parties.

5. Who we share data with

We disclose personal data only where necessary: the signage company that applies and removes the vehicle wrap; advertisers, who receive aggregated driving data only, without driver identity; IT suppliers acting as data processors under a data processing agreement; the Danish Tax Agency for mandatory reporting of amounts paid; and our accountant and advisers where necessary.

7. Your rights

Under the GDPR you have the right of access, rectification, erasure, restriction, objection and data portability, and the right to withdraw consent at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

8. Complaints

If you are dissatisfied with how we process your data, we would like to hear from you first. You also have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark — www.datatilsynet.dk.

9. Security

We have implemented technical and organisational measures to protect personal data against accidental or unlawful loss, disclosure or misuse. Access to location data is limited to the employees who need it to perform their work.

We may update this policy. The current version is always available on this page, stating the date it was last updated.
